| Welcome to the Give to Life project | |||||
| An index for the topics of this help document is supplied at the bottom of this page. | |||||
| Introduction | |||||
| What is Give2Life? In short, Give2Life is a service to make donations to one or more national and International charities in a single transaction. With Give2Life, donors never have to fill up another donation form, never have to send out checks, nor buy stamps to send those payments or remember to stop at the post office. Everything is done through Give2Life interface. Just choose the recipients from the list of organizations, make a single payment and Give2Life takes care of the rest. Give2Life let the user research from the list of charities; contact them, request certificates for tax deductions, and much more. The software is very easy to use. |
| Running the program for the first time Interface Overview |
Take a look of the interface screen before you continue reading. Doing so from the beginning will let you understand better the rest of this document. The screen is divided in four major areas 1. The main menu - Top 2. The charities list - Front left 3. The user options area - Bottom 4. The financial area - Right |
The main menu: The main menu contains options, commands and shortcut tips for the most important sections of the program. The charities list: Charities and organizations are listed on this area based in two criteria 1. Alphabetically by country, with the International listings first. 2. Alphabetically within the country subdivision. The first column describes the nationality specific of the listings. The second names the organization. The third column briefly describes the type of organization. The other columns are empty at the beginning but the program will fill some of them once you start assigning donations. Those columns are described later on this document. User options: Donation should appear as sent from: Give2Life let you chose an individual from whose name a donation is sent. A donation can be made on your name, some body else name or anonymous. When the charity receives the donation, the donor they see is the person's name that appears on this field. For example you can select the option Other Name and type your son's name as the donor. Or you can select the Anonymous option and the donation will show as anonymous. This person will be contacted (if requested) to the contacting address set by the user in the Personal Information screen. This has to be G2L user's information that not necessarily is the donor as explained above. Tax Certificate Regardless of the Donor option selected, you can still request the organization to send you a proof of the donation (for tax deductions or other purposes). To do so, you must check mark the Request Certificate option on the Tax Certificate area. more. Proof of Mailing You can request us to send you a notification when the donation is sent to the charity you have chosen. To do so, check mark the Send Proof of Mailing option. This option is issued in a per organization - donation basis. Selecting it for one organization and deselecting it from other, does not override the selection of either one. This option will be only available for donations of $500 or more to a single organization. When we mail your individual donation or a bulk of donations to that organization, we will email you a scanned proof of mailing as issued by the courier service we used or a tracking number which can be verified at the courier web site or an email containing a link to where the scanned proof is stored on our web server. If you would like to receive a proof of the donation you need to request it from the recipient organization. If this is the case, check mark the Request Certificate option. |
| Assigning Donations | |||||
Budget, Balance and Donation The options are:
Briefly speaking, when currency is set, the amounts you type on the donation
field are understood by the program as being currency. Otherwise, it is a percentage number and is treated as a
portion of the current balance.
At that moment, the Continue button will be enabled. Only then you can proceed to the last step of the process. |
| Before Pressing the Continue button | |||||
| Revise the information shown on the organization's display to make sure
everything looks like you wanted. This is a very important step to take care before pressing the Continue button because after that, you
cannot make any changes for that session. Do not contact us regarding this issue. It is impossible for us to do changes to your session options because what you chose was already stored into Give2Life history and also once the data package arrives to us, it is automatically processed and stored. Totals can be lower than initially reported You may notice after the payment screen opens, that some times, the actual amount required to cover the payment is lower than what Give2Life showed on the interface. This is due to the fact that Give2Life recalculates the entire session before taking you to the payment screen. When Give2Life does it calculations on the interface it uses two decimal numbers, then, many amounts end up rounded and there is when errors occur. Additionally, when a Balance is lower than a useful amount, Give2Life will deprecate it and round it to zero to make things easier and safer for the user. On the final stage however, it does the actual math and corrects any rounding errors to show the correct amount. That is way the actual payment required could be lower. |
| Corrections | |||||
| If any entry does not show as you expected or you change your mind and want
to assign a different donor than the one shown or you want to change any other option like the method or the certificate
request options you can do this at any time, even after assigning a donation to a different organization. To do this correction select the row where the changes are necessary, make any applicable correction and from the Edit menu select Correct. If the change you want to do is on the amount of the donation then select the row where the changes are needed, type the new amount in the Donation field and press Enter. If you type the number 0 (zero) on the Donation field and a donation was already assigned to that organization, the donation will be taken back and the whole amount, including fees will be added to the Balance. |
| Hint: Always make sure,
before entering the first donation, the program settings are correct. After you enter the first donation, the Fees menu will be disabled and the program will use the existing preferences. |
| Estimated Balance | |||||
| While you type a donation the Estimated Bal tag will show the current estimated
balance as will appear after the input is completed. You can use it to your advantage to know ahead of time how much will be left after you assign that donation. If you see a negative number, it means that the current donation cannot be made with these amounts because after fees are deducted the balance will be negative and that is not possible. |
| Rounding Totals | |||||
| When Round Totals option is check marked, the total amount to pay will be rounded to the next higher
unit, if decimals are present on the total. These small amounts will help Give2Life project to override discrepancies between the payment fees we can collect and what we are actually charged by the payment processor. If you do the math you will notice that even when we collect the fees from the user, we are charged fees from the total with the fees included. Saying the same in an example: For a donation of $400 our collected fees are $11.90 . User pays then $411.90 Fees charged to Give2Life for that transaction are against those $411.90 and equal to $12.25 If we subtract $411.90 - $12.25 = $399.65, we loose $0.35 from the original $400 So please, leave the Round Totals check marked. Helping us to override costs: Please consider helping us to override those costs by donating to the Give2Life project as well. For your convenience we are listed on Give2Life database on the International section. |
| Locating Countries and Organizations on the List | |||||
| When the list becomes large or you have difficulty locating an organization,
use the Find
function. On the Resources menu, select Search. In the screen that shows up, select whether you are searching for a country name or an organization. Type the name or partial name and press the Find button. Successive similar entries can be located after the first match is found, press the Find button again to search for additional matches. The List Countries option on the Resources menu shows a selectable list with the countries listed on the database. Select the one you want for fast access to the organizations from that zone. |
| Recalling and Repeating a Session | |||||
| Recalling the last session is possible by selecting Recall Last Session from the Resources menu. This action fills up the interface display with the data you entered during the last session. This is useful to repeat a donation session to the same organizations conserving the previous amounts and other selected options. Give2Life will recall data relative to the donations only and set, Add fees to budget. Note: Payments are not automated. When you agree with the displayed information, press the Continue button to open the payment screen. |
| Favorites | |||||
| The Favorites list is useful to store and quickly locate your preferred
organizations. To add an organization to the list of Favorites: 1. Select the organization on the list. 2. On the Favorites menu, click Add to Favorites. Note: Items added to the Favorites are added only to Give2Life Favorites list. To remove an item from the list of Favorites: 1. On the Favorites menu, select Remove from Favorites. 2. On the Favorites menu, select the item you want to remove. To cancel a remove command from the list of Favorites: 1. On the Favorites menu, click Cancel Remove. Note: This last command is useful in the case you clicked the Remove Favorites by mistake. Once the Remove command has been set, G2L will remove any entry you click next. Clicking on Cancel Remove, does not bring back a deleted item but overrides the command. |
| Distributing Donations | |||||
| If you have a set of favorite organizations already stored on the Favorites
list you can distribute donations of equal amounts between them. The Distribute command can be used also after other organizations have received a donation. To make a distribution a Balance higher than zero must be available. Distributions are done against the current Balance in equal amounts until it reaches zero. To access the Distribute command pull down the Favorites menu. If the Distribute option is disabled, select any organization from the list and enter your preferred settings for: Donator, Deliver option, etc. Once the required options are set, the Distribute option will be enabled. |
| About a Charity or Organization | |||||
| A glimpse of the selected organization purpose and activities can be obtained
from Give2Life - Tell me about this organization command. This command is found on the Resources menu. It can also be selected by clicking the right mouse button after selecting
an organization from the list. Translations When the screen that displays information about an organization is open it will show important information about that organization like their mission, history, etc. The text for that information was written by the organizations themselves and most are in their original languages. Note the TRANSLATE tag on top of the information screen. Click the translate tag to translate the information to your language. When the Translation Preferences screen shows, type your language into the My Language field and the language to transfer from in the From Language field. You can leave or change the translation service used. By default it is set to FreeTranslations.com Electronic translations are not very precise but they give an idea of what the text says. If you want to use another translation service type the URL on the Service field and in the contiguous field the required parameter to indicate that what follows is a url. Another useful command for the means of researching an organization is Go to their web site. This command can also be accessed from the Resources menu or from the mouse pop-up menu. Finally, if you need to contact an organization by email Give2Life permits to do so without leaving the program. Select Contact this Organization from the Resources menu or from the mouse pop-up menu. If the organization has supplied an email address to contact them, an email form screen will show up. You can then, use it to send the message directly to them. If in the other hand the organization has not supplied an email address but they have a web form to contact them, this will show in Give2Life web interface. If the organization has no email or that email does not show in our records, Give2Life will inform you of this. More about Give2Life email form interface Note: In order to keep up to date and correct information about all the organizations listed in Give2Life, without the need to update the whole program or database, organization's email addresses and other records are kept on an Internet server not in the user's computer. Records are obtained in a per request basis which also helps to keep them updated, reduce memory consumption, local resources management and third party privacy rights. |
| Email Interface | |||||
| To be able to send email from Give2Life interface your return email address
must be already archived in the interface. If it was not, the Contact information screen will appear. Complete as many fields as applicable in order to proceed. To send email, your email address and Name fields are mandatory. To restrict people from using Give2Life email interface for other purposes than the intended by the program, the recipient email address cannot be modified through the interface. Additionally your email address is printed as the sender on the delivered email message. When the user selects an organization to email to, Give2Life will gather their contact information directly from our remote server and use that information to deliver the message. |
| G2L Instant Notification Service | |||||
| This is a special feature implemented in the program, which is used to send
messages from Give2Life administration to their users. Every time the interface loads it attempts to connect to
an administrative remote server and retrieve a news service. If such service is available the program will display
the message after pressing the System Messages button, which will blink if new messages are received. This service may be used to inform of incoming events such as special funds rising or a public fund drawing if a penalty stop of service action is necessary. |
| Sending G2L to a friend | |||||
| This feature permits you to tell a friend about Give2Life by sending him/her
an Email message. The message briefly explains what is G2L and where to go to get it. When the recipient receives the message he will see it comes from you; not from us. For this feature to be enabled, your contact information must be present on the interface. To add this information to the interface, select Contact Info under the Preferences menu. We will appreciate you to use this service often to help us expand our reach and service. Don't hesitate to tell your friends, family and coworkers about the Give2Life project. |
| Download Updates button | |||||
| Give2Life main database is updated monthly if new records arrive. Users
of Give2Life can update their local database by selecting Update
List on the File menu. Give2Life automatically updates it database every time the program runs and there is a live Internet connection. If the program has been running for an extended period of time, you can manually check and download new databases (if available) The Download Updates serves to update the organization's list also referred as database. A version number prefixes each database. To know what version is currently installed: 1. On the Help menu, click About. 2. On the About screen, the database version and the program version are shown among other information. |
| G2L Wizard | |||||
| The first time the program runs the wizard screen shows up. It is recommended
to use this helpful screen until you get used to the program. To deactivate this screen from appearing when the program starts: 1. On the Preferences menu, click Start with the wizard to clear the check mark. To activate this screen when the program starts: 1. On the Preferences menu, click Start with the wizard to check mark it. Once the program is running, you can call this screen as follows: 1. On the Resources menu, click Show Wizard. |
| Personal Information Screen | |||||
| Every user must complete the fields of this screen before a transaction
takes place. Once the fields are completed the information is encrypted and stored in the computer for future use. Some data is used locally to make calculations, to encode other data and some is sent to Give2Life network in an encrypted way to be used for identification purposes. The screen will automatically pop up whenever information required is missing or incomplete. If you want to open the screen to complete or make changes: On the Preferences menu, select Contact Info |
| User's Ranking | |||||
| How would you like your name to appear on Give2Life web site? Would you like to show yourself as a respected donor? If the answer to any of these questions is Yes, then select "I will like to be included in the Ranking" on the Personal information screen and complete the necessary information whether you want to be listed as an individual, a business or both. The ranking contains the 20 best donors on each category. (20 individual and 20 businesses). The list is reset anually and old records are kept on the previous years pages. |
| Donation Status
- |
| When a row that shows an organization is selected the program will try to
locate records for that organization's current donation status. If the prompted information is located then the
info sign will be highlighted. Place the mouse cursor over the info sign when it is lighted. A screen will show the most up to date donation status for the organization. The information provided is one or more of the following. Today's donations; This month donations; This year to date and Totals Ever. This service let you see how well is doing that organization on Give2Life's program. In other words, how much have people donated to them. This feature will not be immediately available since the server application is still on development. |
| History file | |||||
| Every time a transaction completes, details of that transaction are stored
in the History file. Select the History option on the File menu to open the file. Data from the history file can be transported to other documents with assistance of the common Windows edition commands accessible through the mouse pop-up menu. |
| Fees | |||||
Processing fees need to be charged to all transactions. Those fees cover
for our expenses with processing. Fees are assessed according to your preferences on the type of action you order
us to do in your behalf. Total fees will vary depending on the amount of donations done on each session and the
method used to make them.
Fees may vary over time as our expenses go higher or lower. To know how much one or the other option costs, move the mouse over the options until a tag appears. The tag will show the current fees. Those fees pay for issuing paperwork, mailing, Internet expenses, payment collection and general office expenses.
| Credit Card Charges The credit card processor charges a fee for all credit card transactions and e-check issuing. Give2Life will add the amount of those fees to the total when you confirm your wish to pay or it will deduct them from your balance depending on your choices. This fee is the same fee most credit card processor charge for transactions. Even when you don't see it, the charity organization has to pay it from their pocket; then, they never actually receive the money you thought you gave them. With Give2Life approach the charity will actually receive the amount of money you typed in the interface. |
| Avoiding Credit Card Fees | |||||
| The online payment processor charges a fee for payments with credit cards
or e-checks, but those fees will not apply for payments transferred directly from a PayPal account. To avoid paying fees you must fund the payment from your PayPal account and enough funds to cover the transaction's total must already be on the account at the time you accept the payment to Give2Life. Make sure, when you accept the charge, it is debited from your PayPal account and not from your credit card or your bank account. If you do not have enough balance in your PayPal account, transfer the required money from your credit card or from your bank account and then, when enough funds are available * return to Give2Life and do the transaction with the Funds Transfer option set. * For credit card, transfers may take about 24hrs. For bank transfers 4 or 5 days. In this way we are not charged any fee and as a consequence it is not added to your payment. Below are the different types of funding for selection on Give2Life interface. Funds Transfer: This is a fund transfer from your PayPal account to Give2Life. This is the payment of choice to avoid clearing fees. e-check: This is a check withdrawn from your bank account, electronically deposited into your PayPal account and then automatically sent to Give2Life. This is a good choice for large budget donations with the convenience of direct payment and lower fees than those for credit card payments. e-checks have a fixed fee. At this time it is $5 Credit Card: The payment is debited from your credit/ATM card. Credit card fees are calculated as a percentage of the total payment plus a fixed amount; It usually is 2.9% + $0.30 (These amounts vary depending on the country where payment is originated) Note: We will refuse to accept payments sent with wrong settings. |
| How Online Collection Works | |||||
| When Give2Life finishes calculations for the actual donation amount plus
fees it will open the payment
processor web site where you must enter your unique personal
authentication information to authorize payment. When that step is complete, we will receive a notice of your payment and the package containing your distribution instructions. The payment processor will also expedite a copy of your online payment and send it to your email address. Keep this email message or print copy for your financial records. Note: Give2Life does not automatically deduct the payment from your credit card or any other account. Give2Life does not store, uses, captures or manipulate any personal information you print or type or that the web browser copies into the payment collector web site input fields. Give2Life does not ask for a credit card to enable it nor to use the program. |
| Tax Deductions | |||||
| In many countries donations can be deducted from taxes either from the earning
income or as business contributions. Check with your tax advisor or accountant to learn if you can take advantage
of these tax laws. Give2Life allows you to request a certificate to be used to lower your tax obligations when you make a donation. This certificate is sent to you by the charity or organization we send the donation to at your request. In general, the certificate includes a thank you note with the organization legal name, a tax-exempt permit number and/or a non-profit id number. To request this certificate you need to check the Request Certificate option. On Give2Life, this setting is optional for each individual donation. Note: if you don't select Request Certificate, the recipient organization will not know you need a certificate. In this case they may or may not issue and send you one. Additionally, to request a certificate your physical mailing address must be entered in Give2Life Contact Info. Once this form is filled, the information contained is kept on your computer until you send a donation for processing. Additionally, this and any other personal information you submit are to be used solely for Certificate requests. Be aware that we are not responsible for the use of this information by the recipient charity or organization. |

The winner organization name will be published in that space. |

| Calculation Methods - Donations | |||||
Currency The deduction is made by subtracting the donated amount from the current
balance. Numbers are treated as currency. This example applies only if fees are computed with the Add to Budget option set. If Deduct from Budget is set then applicable fees are added to the donation and then the balance is computed. |
